About the Role

The New York State Education Department’s (NYSED) Office of Human Resources Management (OHRM) provides personnel services, staff development, labor relations, diversity and access, and employee benefits to staff in various program areas within the Education Department. Staffing Services provides personnel and technical services to staff in all program areas within the Education Department. Staffing Services is comprised of human resources professionals and administrative staff who engage in recruitment activities, examination planning, classification work, and other key functions. Staffing Services also includes the List Unit which manages the Department’s decentralized eligible lists and provides Civil Service eligible lists for all appropriate titles to program areas for filling positions throughout the agency.

Intern Responsibilities

  • Accurately draft a variety of employee-related correspondence, such as letters and emails, in a timely manner.
  • Review and process employee performance documentation.
  • Monitor the Jira ticketing system for non-employee requests (agency contractors, volunteers, interns etc.) and complete related data entry and administrative tasks, such as logging into Access database and ensuring all required information is thoroughly supplied.
  • Print and organize documents to be filed in employee personal history folders.
  • Create recruitment folders in Outlook mailboxes and assign permissions, as needed.
  • Send templated communication to non-selected candidates for recruitment upon selected candidates’ acceptance.
  • Create and maintain recruitment folders on the shared network drive for active searches and Unit staff to use efficiently.
  • Monitor the shared mailbox for canvassing responses and route them to the appropriate recruitment mailboxes.

Required Skills

  • Strong computer skills and experience working with Microsoft products such as: Excel, Word, Access, PowerPoint, Outlook email, and SharePoint.
  • Excellent attention to detail and communication skills (written and verbal)
  • Ability to follow detailed instruction and manage multiple tasks and priorities

Technology Requirements: Desktop, Microsoft Suite applications (Specifically Microsoft Excel, Word, Access for data entry and Outlook email.

Day/Hours Per Week: Hours flexible other than Thursdays required

Length of Internship: 320 hours
